Role Overview

Under the direct supervision of the Head of School, and in a reporting relationship with
the Dean of School primarily, and the Dean of Compliance secondarily, the Office
Manager (OM) is responsible for planning and providing a range of support throughout
the school. This is an imperative position within the school structure with the responsibility
of ‘gluing together’ various functions and roles. The role is a perfect fit for a candidate
who demonstrates a great deal of professionalism and has an outgoing personality. The
OM must ensure that the day-to-day operation of the school is strategically aligned with
its mid and long-term objectives. The OM is part of the leadership team, as it is at the
heart of all school-wide planning and implementation. Hence, the role requires a good
deal of organization and a knack for detail. The OM must ensure effective and efficient
flow of information throughout the organization. The responsibility of the position includes
but is not limited to planning and scheduling, documentation, event management and
tracking of all school programs and activities, as well as employee assignments. The OM
acts as a hub for information management and distribution within the Lebawi office, the
school, and among external stakeholders. The OM will seek out updates and data from
various areas of the school and help ensure the appropriate/designated recipients
receive the information in a timely and professional manner. The OM is the direct
supervisor of administrative positions in the organization.

Job Duties and Responsibilities

General aim of the position is to :

  • Ensure an efficient and effective administrative office for Lebawi;
  • Support the free flow of information and data across the school and the office;
  • Track and manage school and office resources;
  • Support and lead the documentation and management of school data
  • Eensure healthy and predictable communication with external stakeholders like
  • parents/guardians, donors, as well as regulators;
  • Lead in organizing all school events;
  • Set and track management schedules and activities;
  • Provide effective oversight of all school priorities and personnel.

Cooperation and Reporting Relationships

  • The OM is primarily responsible to the Head of School, and the Dean of School;
  • The OM works very closely with the Dean of Compliance, Program manager(s),
  • Directors and Head of Departments, and other relevant officers;
  • The OM supervisors the administrative assistant and facility management personnel’;
  • The OM and the direct reports are to establish a working relationship in compliance
  • with the conditions of service as set by the organization;
  • The OM may be delegated to work with government and other external stakeholders.

What is expected of OM?

  • Planning and managing communication of information to internal and external stakeholders.
  • Planning, coordination and execution of the school’s communication activities ranging from faxing, emailing, establishing appointments, scheduling, preparing or composing correspondence and others.
  • Keeping track of events and activities outside of Lebawi to support the planning of school related programs.
  • The OM will ensure all educational materials like lesson plans, grade reports; student
  • database and, assessment materials and other related paperwork are accompanied with appropriate documentation. This involves ensuring timely submissions and filling of documentations.
  • The OM has direct responsibility over school warehouse and storage facilities. The OM will supervise the administrative assistant in the management and operation of inventory and other school materials.
  • The OM is responsible for receiving and accommodating guests. He / she makes sure appropriate planning and accommodation is carried out in support of Lebawi guests.
  • The OM may be directly responsible for planning and managing calendars for Head of School and Dean of School in conjunction with the school annual calendar.
